Products controls at a glance

Open Products from the seller sidebar. The controls below belong to that workspace; the links in this guide explain what to do there. Creating, editing, importing and exporting require Owner or Manager access.

Search, filter and sort products

  1. Enter a product title or SKU in Search products or SKU.
  2. Select Add filter to open the filter controls. Choose a Product status, Product collection or Product category. Choose the matching All option to stop filtering by that field.
  3. Open the sort icon beside the filters, labelled Sort options. Choose Newest first, Oldest first or Title A–Z.
  4. Select the magnifying-glass Apply button, or press Enter in the search field. The list reloads with the selected search, filters and order. Choosing a dropdown value alone does not apply it.
  5. When Clear is shown, select it to return to the default Products list. If no products match, clear a filter or try a different search.

Use Previous and Next below the table to move between result pages. They preserve the applied search and filters, and are unavailable at the first or last page respectively. These controls change the view, not the products or stock.

Open a product or use its row menu

  1. Select the product name to open its details. The page includes its description, photographs, options, variants and linked inventory.
  2. Alternatively, select the three-dot menu at the right of that product’s row. Open product opens the same page.
  3. With management access, Edit product opens the product page with the Edit Product drawer already open. Update the fields and select Save, or selectCancel to leave those edits unsaved.
  4. Delete product opens a confirmation; opening the dialog does not delete the product. Read the product name and warning before selecting its final Delete product button. Products with sale-request, order or reservation history cannot be deleted. Warehouse inventory is retained.

See Product details for the exact controls for photographs, options, prices and stock. Read Available stock, Reserved stock, Variants and Status using the Stock & status guide.

Choose how to add inventory

  • Create opens Create product for one catalog product. Complete its Details, Organize and Pricing & stock steps, then choose Save as draft or an eligible Publish. Follow Create a product for the fields and publishing conditions.
  • Import inventory opens Import products & inventory. Select a CSV, map the columns, use Validate & preview, confirm ownership and select Confirm import. Imported catalog products start as Draft. Follow Import inventory before confirming.

Export warehouse inventory

  1. Select Export inventory above the Products list.
  2. Download the CSV through your browser. It contains independently supplied stock at enabled warehouse locations, including SKU, location, available quantity, in-stock quantity and reserved quantity.
  3. Review the exported stock records in your spreadsheet. Export does not save edits, adjust quantities or confirm sales.

Use the product navigation

The links below Products switch workspace areas. They are not filters for the current table.

  • Products returns to the catalog list and its Create, Import and product-editing controls.
  • Collections opens reusable collection definitions used to group products. Assign a collection from the product’s organization controls; creating a definition alone does not assign all products to it.
  • Categories opens the shared category tree. Sellers browse category paths; platform category creation and changes are administrator actions. Select a category when creating or organizing a product.
  • Options opens reusable option definitions. A product’s own option groups, values and variant combinations are managed on that product. An option definition is not a quantity of stock.
  • Inventory opens warehouse stock, locations and reservations. Use it to manage actual quantities rather than catalog descriptions. The Stock & status guide explains its controls.

Create or edit a collection

  1. Open Collections below Products. Use its search and Definition status selector to find Active or Archived definitions.
  2. With Owner or Manager access, select Create to open Create collection, or Edit on an active collection to open Edit collection.
  3. Enter Name, an optional Handle and optional Description. Leaving Handle blank generates it from the name. Select Save and check the definition in the list. A duplicate handle is rejected; if the definition changed meanwhile, reload it before saving again.

To retire a collection, select its row’s Archive, read the confirmation and select Archive again. It remains under the Archived filter but is hidden from active product selectors. Definitions assigned to active products cannot be archived. For permanent deletion, open an active collection’s Edit window, select Delete collection, then Delete permanently only after reviewing the warning. Deletion is blocked while any product, including an archived one, references that collection. Cancel closes either confirmation without proceeding.

Create or edit a reusable option

  1. Open Options, then select Create or an active option’s Edit. The drawer is labelled Create option or Edit option.
  2. Enter Name, optional Handle, comma-separated Values such as Small, Medium, Large, and an optional Description. Values must be unique, with at least one value in an option.
  3. Select Save. This saves the reusable definition, not stock quantities or generated variant rows. Use the product’s own option controls to manage its combinations. Select Cancel to leave unsaved definition edits unchanged.

Values used by active products cannot be removed from the definition; update those product options first. An option’s Archive action also requires confirmation and is blocked while active products use it. Archived definitions remain viewable with the status filter. This is separate from archiving a product or releasing stock.
