Stock & status

Read stock quantities and catalog status before preparing inventory for sale.

Available and reserved stock

In Products, read Available stock and Reserved stock alongside the active variant count. Open Inventory to change actual quantities or manage a reservation.

Stock columns; Cotton crewneck tee is the last row.Cossad interface shown with sample data.
FieldMeaning
Available stockUnreserved quantities across linked, enabled stock locations. Stock eligibility and allocation checks still apply before offering inventory.
Reserved stockStock held for orders or manual inventory reservations. A reservation is not a completed sale.
In stockThe physical quantity recorded at a location, including its reserved units. Available = in stock − active reservations.
VariantsThe number of active catalog variants, not a stock-unit count. A kit’s availability depends on its linked component quantities.

The sample tee has 120 in-stock units. A 12-unit manual hold leaves 108 available and 12 reserved. No order or payment was created for that hold. Each variant and location must still be checked before using those units.

Stock controls at a glance

These actions are in the seller’s signed-in workspace. Owner or Manager access is required to change independently supplied inventory. Read-only source inventory and another business’s stock cannot be edited here.

Where to clickWhat opens or changes
Manage stock / InventoryOpen the warehouse inventory list. Select a row’s Review arrow to open its stock by location and reservations.
Search / risk filters / Configure risk rulesSearch and risk filters update the list immediately. Configure risk rules changes the workspace’s two risk thresholds only after Save rules.
Stock checkboxes → Offer inventory / ClearSelect stock to open the Offer inventory form. Clear removes the selection, without changing inventory or reservations.
Edit details / Export CSVEdit a stock item’s shared descriptive fields, or download stock records for that SKU.
Manage locationsSelect the locations stocking this SKU; new assignments start at zero.
Create stock location / location nameCreate a reusable warehouse location, or edit its name and address. This does not add stock by itself.
AdjustSet a location’s new total in-stock quantity and record a reason while preserving reservations.
Reservations → Create reservationCreate a manual hold that reduces available inventory without creating an order or payment.
Manual hold → Edit / ReleaseChange an active manual hold or release it immediately. Order reservations are managed through Orders.
Create itemCreate a warehouse SKU and its starting location quantities. This differs from Products → Create.
Draft / Published / ArchivedRead catalog state separately from stock availability and marketplace sale-request status.

Open an inventory item

  1. In Products, open the Inventory tab. From a product detail page, Manage stock opens the same list; if no stock is linked, that button is labelled Add inventory.
  2. Find the item using Search product or SKU, then select the arrow at the right of its row, labelled Review [item name]. The name and SKU in this inventory table are not links. The arrow opens its stock detail page, including Locations and Reservations.
  3. To go directly to linked stock, open a variant row’s three-dot menu on the catalog product and select Go to inventory item. Kit components are listed by their inventory SKU instead.
  4. Check the SKU and location before editing. Associated variants links back to catalog products using that stock. Select All inventory to return to the stock list.

Size M: 50 in stock, 12 reserved and 38 available.Cossad interface shown with sample data.

These warehouse forms open the tee’s size M SKU: 50 in stock, 12 reserved and 38 available. The product totals across S, M and L remain 120, 12 and 108 respectively.

Search and filter the stock list

Search product or SKU matches the item name, SKU, category or location as you type. The All inventory, High risk, At risk and History unknown tabs filter the current risk analysis immediately. There is no Apply button on this inventory list. Use its previous and next arrows to move through the matching stock records.

Risk status describes the available sales-history and deadline signals. It is different from catalog Draft, Published or Archived, and does not confirm a sale or make stock eligible for a listing.

Select stock and open an offer form

  1. With management access, select the checkbox beside each stock row you want to use. The header checkbox, labelled Select visible inventory, selects the visible rows; selections on other result pages are retained.
  2. The selection bar shows the number selected. Select Offer inventory to open the form with eligible selected items. Review each item, location and quantity in that form before submitting anything.
  3. Selecting Clear on this bar clears only the row selection. It does not clear the search, delete stock or release reservations. Unchecking a row also removes just that selection.

Opening Offer inventory does not create an order, reserve units or start buyer bidding. Request submission and eligibility review are separate steps; bidding starts only after approval.

Configure the risk thresholds

  1. Select the sliders button labelled Configure risk rules beside the inventory search to open the dialog of the same name. This is an Owner or Manager action.
  2. Enter No recorded sales threshold (days) as a whole number from 30 to 365, and Excess stock cover threshold (days) as a whole number from 30 to 730.
  3. Select Save rules. The workspace risk thresholds are updated and the risk analysis uses the saved values. To leave the proposed values unsaved, close the dialog before saving.
Current thresholds opened for review, without saving.Cossad interface shown with sample data.

No-sales and stock-cover checks require actual sales history. Changing thresholds does not supply missing history or treat unknown demand as zero sales. A selling deadline within 30 days can contribute a separate risk signal. Saving rules does not change physical quantities, reservations or catalog status.

Choose template, import or direct entry

  • CSV template downloads a stock CSV layout. Downloading the template does not upload or create inventory.
  • Import inventory opens Import products & inventory. Follow Import inventory to map, validate and explicitly confirm the file.
  • Create item opens the two-step manual stock-entry form described below. It is different from the catalog’s Create action.

Edit inventory details or export a SKU

  1. Open the inventory item. In its Details section, select Edit details to open Edit inventory details.
  2. Update Title, Category, Condition, Description or Condition notes. Review Retail price / stock unit (USD) and Minimum price / stock unit (USD); the minimum cannot exceed the retail price.
  3. Add an HTTPS Photo URL, or review Requires shipping and the optional Attributes: dimensions and units, weight, material, country of origin, MID and HS codes. These are stock-item details; catalog photographs use the product’s separate Photos editor.
  4. Select Save details. The descriptive changes apply across this SKU’s stock locations. Quantities and reservations are not changed by this action. Select Cancel to leave those field edits unsaved.
Warehouse item fields opened; stock quantities are unchanged.Cossad interface shown with sample data.

SKU is fixed after creation. Unit of measure is locked after listing, reservation or catalog linking; stock is counted in whole units of the chosen measure. If the item changed while the form was open, reload its details before trying again.

Export CSV in the same Details section downloads eligible enabled-location stock records for that SKU, including in-stock, available and reserved quantities. It does not save the open form or alter stock. The Products-list Export inventory instead exports eligible stock across the workspace.

Manage stock locations and addresses

Select locations for a SKU

  1. In the item’s Locations section, select Manage locations.
  2. In Manage locations, use Search locations if needed. Select the locations that stock this SKU. Keep at least one selected.
  3. Select Save locations. Newly assigned locations start with zero in stock. Use Adjust at the correct location to record its actual quantity; selecting a location does not move units from another warehouse.
Existing stock locations selected; nothing reassigned.Cossad interface shown with sample data.

Create a location

  1. Inside Manage locations, select Create stock location.
  2. Enter a unique Location name. Add the street address, apartment or suite, city, state or province, postal code and country when available.
  3. Select Save location. The location is created and selected in the location list. Then select Save locations to assign it to this SKU.

Save location creates a reusable location immediately. Cancelling the outer Manage locations form does not undo that creation. It still does not add any inventory quantity by itself.

Edit a location’s name or address

  1. In the item’s Locations table, select the location name to open Edit stock location. External source locations cannot be edited here.
  2. Correct its name or address fields, then select Save location. Check the updated address below the location name.

This updates the shared location record used by other inventory at that warehouse. It does not change quantities, book a pickup or set shipping terms.

Adjust a location’s stock quantity

  1. In the item’s Locations table, find the warehouse and select Adjust in that row. The Adjust stock form shows its current In stock, Reserved and Available values.
  2. Enter New in-stock quantity: the new total at that location, not an amount to add or subtract. Use a whole number between 0 and 100,000, at least as large as its reserved quantity.
  3. Review Available after adjustment and enter a Reason of 3–500 characters describing the change.
  4. Select Save stock adjustment. On success, check the updated location row and totals. Active reservations are preserved. Cancel leaves the proposed adjustment unsaved.
Adjustment form opened only; no quantity change submitted.Cossad interface shown with sample data.

Create, edit or release a manual reservation

Create a manual hold

  1. From Inventory, select Reservations, or use the Reservations section on a stock item. Select Create reservation.
  2. Choose Item to reserve and Location. When opened from an item, that SKU is already selected. Review the location’s in-stock, reserved and available values.
  3. Enter a positive whole-number Quantity within the available amount. Optionally add a Description explaining the hold.
  4. Select Create reservation. Only a successful save reduces availability and adds the Active manual hold. Opening the form does not reserve anything. No order or payment is created.
Create reservation opened, then cancelled; no extra hold created.Cossad interface shown with sample data.

If no eligible stock is available at the location, select another location or reconcile its stock first. Do not count someone else’s reserved units as available.

Find and edit an active manual hold

  1. Use Active for current reservations or All history for earlier records. Search with Search SKU, order or location. These controls filter the list immediately; Previous and Next move between pages.
  2. Find a row labelled Manual hold and select Edit. Edit reservation keeps the item and location fixed.
  3. Change Quantity or Description, then select Save reservation. The available amount is recalculated; increasing the hold still requires enough unreserved units. Select Cancel to keep the saved hold unchanged.
The saved sample hold opened for review; no changes saved.Cossad interface shown with sample data.

Release a manual hold

  1. Check the SKU, location and quantity in the active Manual hold row. Select Release only when the hold is no longer needed.
  2. Release runs immediately, without a second confirmation dialog. After the success notice, those units return to available stock. The released record remains under All history.

Create a stock item, not a catalog product

  1. In the Inventory list, select Create item to open Create inventory item.
  2. In 1. Details, enter a new SKU, Title, Category, Condition, retail and minimum prices, and any relevant descriptions, photo URL or attributes. Select Next; the item has not been created yet.
  3. In 2. Availability, select existing stock locations and enter In stock at each one. Alternatively enter New location and In stock at new location. Choose each location once, with whole-number quantities.
  4. For real inventory, confirm that you independently supplied it and have the right to sell it. Then select Create inventory item. On success, the new inventory detail page opens. Back returns to the first step; Cancel closes without submitting the item.
Stock-entry form opened only; no new SKU created.Cossad interface shown with sample data.

Understand catalog status

StatusMeaning and next action
DraftA catalog product still being prepared. CSV imports start here. Open the product to review its information, photographs, variants, prices and stock.
PublishedA published catalog product. Marketplace sale requests have a separate preparation, review and selling process. This is not confirmation of an order or sale.
ArchivedA product set aside from active catalog preparation. It does not mean its inventory was sold or its reservations were released. Use Restore draft on the product when you intend to prepare it again.

To change catalog status, use the product’s own editing or archive controls, described in Product details. A warehouse stock adjustment does not change that catalog status.
